January 8/9 PubComm Meeting Minutes

Attending: Ryan, Guy, Fred, Roy, Haibo, Beijiang, Xiaorui

(1) Procedures.

So far, the procedures are generally working well. A few comments and suggestions:

• More diff files would be helpful. Editor AB should produce diff_AB.pdf (diff between original and AB); editor CD should produce diff_CD.pdf (diff between AB and CD); then the diff sent to the authors should include all changes, diff.pdf (diff between original and CD). Ryan will update the procedure.

• A few IHEPBox problems: difficulty removing folders (maybe resolved); strange behavior downloading files.

• Clarification of the procedure.
  • When Beijiang (PC) announces the end of CWR, he will remind the authors to send the latex source to the PubComm editors.
  • Once the editing is finished, Beijiang (PC) will send the draft to the spokespeople for final approval.

(2) Papers using BESIII software, but not authored by the BESIII collaboration.

• We discussed this and came to a consensus, more or less. Ryan put together a rough draft of a policy. The PubComm will suggest changes.

• A few notes not in the draft policy: LHCb simply does not permit these types of papers. We felt we should be more flexible, especially considering the special relationship between BESIII and any possible future tau-charm factory.
